Terms of use

These terms govern the use of EvalSchools, a school management system for schools in Uganda. By registering a school, signing in, or submitting an admission application through the system, you agree to them.
1. Who these terms are with
"We" and "us" mean the provider of EvalSchools. "The school" means an institution registered on the system. "You" means whoever is using it — a school, a member of its staff, or a parent or guardian.
2. Accounts and access
- A school registers, and we verify it before opening access. We may decline a registration.
- The school decides who among its staff has an account and what each may do. Staff join through a link the school shares and must be approved by the school.
- Sign-in is by phone number and password. You are responsible for keeping your password to yourself and for what is done under your account.
- Tell the school at once if you believe somebody else has your password. A head teacher, school owner or Director of Studies can reset a staff password; the person must then set a new one.
- We may suspend an account or a school that is being used to break these terms or the law.
3. Subscription and payment
- Access is sold for a period of months agreed with the school and recorded on the school's account.
- Fees are agreed with the school directly. Payments are recorded against the school's subscription.
- A school whose subscription has lapsed may be contacted about renewal. We do not delete a school's data because a subscription has lapsed — see clause 8.
- School fees that parents pay to a school are between the parent and the school. We do not collect, hold or process school fees.
4. What the school is responsible for
- The accuracy of what it records: marks, attendance, fees, and pupil details.
- Having the right to record the information it enters, including telling families what it collects and why.
- Deciding which staff may see what, and reviewing that when people join or leave.
- Its own decisions. Report cards, promotion, disciplinary matters and fee decisions are the school's, even where the system has calculated a figure that informed them.
5. Acceptable use
You must not:
- try to reach records belonging to another school, another family, or a pupil you are not entitled to see;
- share an account, or use somebody else's;
- submit false admission applications, or upload a document you know to be forged;
- upload anything unlawful, or any file intended to damage the system or its users;
- attempt to circumvent limits on the system, including rate limits on public forms;
- copy, resell or reverse engineer the software.
6. Admission applications
- An application submitted through a school's admission link is an application only. It creates no place and no enrolment.
- A child joins a school's register only when that school's admission office accepts the application.
- The school decides whom it admits, on its own criteria. We take no part in that decision.
- Information given in an application must be true. A school may reject an application, or reverse an admission, if it is not.
7. Availability
We work to keep the system available, but we do not guarantee that it will be uninterrupted or fault-free. Maintenance, a network failure, a power cut or a fault may make it unavailable for a time. Schools should keep the ability to operate on paper for a day where necessary — particularly for attendance and fee receipts.
8. Your data
- The school's data belongs to the school. We store and process it on the school's behalf and do not use it for our own purposes.
- A school may request an export of its data at any time.
- A school may ask us to delete its data. Deletion is permanent, and we will confirm before acting.
- How personal information is handled is set out in our privacy policy, which forms part of these terms.
9. Intellectual property
The software, its design and its documentation remain ours. Using the system gives a school the right to use it for its own administration for as long as its subscription runs, and nothing more.
10. Liability
We provide the system with reasonable care and skill. To the extent the law allows, we are not liable for loss arising from a school's own use of the system — including a decision taken on a figure the system produced, data a school entered incorrectly, or access a school granted to the wrong person. Nothing in these terms limits liability that cannot lawfully be limited.
11. Ending
- A school may stop using the system at any time and request its data.
- We may end a school's access where these terms are seriously or repeatedly broken, or where the law requires it, and will give notice and a chance to put things right unless a child's safety makes that impossible.
12. Changes
We may update these terms as the system changes. The date at the top will change, and material changes will be communicated to schools. Continuing to use the system after a change means accepting it.
13. Governing law
These terms are governed by the laws of the Republic of Uganda, and the courts of Uganda have jurisdiction over any dispute.
